The position
The Department of Geosciences at UiT, The Arctic University of Norway has a 100% position as Project Coordinator within the Norwegian Centre of Excellence, iC3: Centre for ice, Cryosphere, Carbon and Climate.
Funding for the position is secured for 3 years from the commencement date.
About iC3
iC3: Centre for ice, Cryosphere, Carbon and Climate is an interdisciplinary polar research hub located in Tromsø, the capital of Arctic Norway. Our Centre is hosted by UiT, The Arctic University of Norway, a top university worldwide in terms of Arctic research output and is partnered with the Norwegian Polar Institute and NORCE. We offer a friendly and supportive work environment, working together across disciplines to answer some of the biggest questions in polar research. iC3 aims to close order of magnitude uncertainty in polar carbon budgets, addressing the hypothesis that changing ice sheets and the cryosphere profoundly impact Earth's carbon cycle, directly affecting human societies via feedback to the global climate and polar ecosystems. Our team has access to world-class facilities including Arctic and Antarctic research stations, ice-going research vessels and in-house laboratories and modelling capacity.
As the Centre continues to grow, we are looking for an administrative coordinator to join our team. We are seeking someone who is passionate about polar science, has strong work ethics, is driven, proactive, and shares our commitment to teamwork and professionalism. The appointed person will be responsible for supporting iC3´s Director, Centre Manager and research team with the Centre’s operations and activities, managing dynamic and diverse work streams.
The administrative coordinator will be based in Tromsø at the Department of Geosciences at UiT, and will work alongside the iC3 Manager, two centre Directors, The Director Support Coordinator, Communications Advisor (50%), Data Manager (50%) and iC3 scientists. The appointed person will also be part of a wider group of administrators at the Faculty of Science and Technology and will collaborate closely with administrative staff at the Department of Geoscience.
You must be able to start in the position within a reasonable time after receiving the offer and be based in Tromsø. This position is not relevant for those wishing to work remotely.
The workplace is at UiT in Tromsø.
Job description
Coordination responsibilities
Coordination support to iC3´s Centre Manager and Directors with new strategic ventures, including funding applications and other strategic partnerships.
Coordination and administrative support for iC3´s annual field school and other field activities
Coordination of iC3 infrastructure – overview, storage and loan of equipment, Standard Operating Procedures and database of all infrastructure.
General administrative support
Daily administrative tasks in the Centre. These include, but are not limited to:
Organisation, paperwork preparation and minute taking, for example at meetings and workshops, for example, support to iC3 secretariat meetings, iC3´s Science Board (bi-monthly), Scientific Advisory Committee (annual), Steering Committee (annual) and iC3 cross-centre activities.
Support with iC3 recruitment processes and onboarding of new PhDs, post-doctoral and visiting researchers.
Travel booking and arrangements for visiting researchers.
Requisition and purchasing
Horizon scanning funding opportunities and maintenance of iC3´s funding database
Support with iC3 communication tasks, including graphics as needed
Other iC3 administrative tasks to support the centre as needed
The work tasks may vary/change during the period of appointment.
Qualifications
To be hired, the following requirements must be met:
Educated in a relevant subject, preferably to master’s level, or equivalent knowledge and experience. This might be in research management, project coordination or in a relevant research topic to iC3.
Work experience (>2 yrs) within a relevant context (e.g. scientific research and/or research-related administration).
Excellent organization, planning and time management skills, with an eye for detail.
Excellent communication skills in English, both verbal and written, including communicating effectively with internal and external contacts at all levels of seniority.
Desirable qualifications
Good written and oral communication skills in Norwegian is an advantage. Applicants not able to communicate in Norwegian are expected to learn Norwegian within 2 years.
Skills and experience in generating graphics and illustrations
Research proposal development and support
Experience with working in environmental management and policy
Direct knowledge and experience from a relevant scientific field
